About the role

The role of Office Administrator is a full time position which will provide effective administration support to the WA branch, Kewdale and other management and other relevant stakeholders. Applicants should be able to work unsupervised to achieve required results. The role requires fantastic communication skills and a solid working knowledge of the Office suite of products, whilst other software specific training is provided.

The Office Administrator will be required but not limited to carrying out the following tasks:

  • Raise and Receipt Purchase Orders

  • Branch admin duties such as key registry, dealing with cleaners and gardeners

  • Monitoring and maintaining office equipment, inventory supplies; overseeing orders replacement supplies as needed

  • Support to other departments (such as financial department or HR) with administrative or clerical support

  • Mobilisation and demobilisation for the fitters to and from site including, manning sheets

  • Assist with new employee orientation, inductions and maintain records

  • Management of FMG/Damstra/Enable portals

  • Administration of Travel for flights, hire vehicle and accommodation arrangements for site staff, managers and contractors

  • CBE reporting

  • Job register spreadsheet tracking

  • Opening work orders

  • Ensure job costings are included in the job i.e expenses

  • Finance reporting for final job costs

  • Invoice customer through the use of Ariba and Pronto

  • Revenue Recognition compliance

  • CBE reporting to Service and Branch Manager

  • Entering timesheets into Pronto

  • Electronic filing of all service related information and documents

  • Filing of all rigging inspections

  • Follow the Terex values and policies, including those regarding safety, and participate in training/performance review processes

  • Investigate accidents and incidents within the WA Branch to identify actions required to prevent their reoccurrence. Assist in the risk assessment process.

  • Other related duties as required

Skills and experience

  • A minimum of three years in a similar role, preferably within the industry

  • Well-developed interpersonal skills with the ability to deal with people at all levels, i.e. work colleagues, customers and service providers.

  • The ability to work under minimal supervision and be a team player, interacting with co-workers in a pleasant, cooperative and professional manner

  • Well-developed organisational skills with the ability to handle the administrative component of this role

  • A high level of verbal and written communication skills

  • Well-developed computer skills including proficiency in Excel & Word, as well as software products. Experience in Pronto, Powerpoint and Access is desirable.

  • The ability to collate and analyse marketing date

  • The ability to prepare technical and sales documentation

  • The ability to prepare, edit and correct business correspondence

  • Respect confidentiality

  • Accounts/book-keeping skills.
